VOLUNTEER CLINIC RECEPTIONIST

PART-TIME

Agency Description:
Asian & Pacific Islander Wellness Center's mission is to educate, support, empower, and advocate for Asian and Pacific Islander (A&PI) communities — particularly A&PIs living with, or at-risk for, HIV/AIDS. We are the oldest and largest nonprofit in North America focusing on sexual health and HIV in A&PI communities. Founded in 1987 as an all-volunteer, community-based response to the AIDS crisis in communities of color, we are based in San Francisco's Tenderloin neighborhood. We operate local, regional, statewide, and national programming, and collaborate with grassroots activists throughout the Asia Pacific Region. All of our work is aligned to fight HIV-related stigma; to provide primary healthcare access to A&PIs who experience the most extreme forms of discrimination and have the least access to quality services; and to be the primary provider of transgender services for the City of San Francisco. The agency's greatest assets — our Board of Directors, staff and volunteers — reflect the talents and diversity of the communities we serve. Volunteer Position Description:
Under the direction of the Clinic Administrator, serves as a Volunteer Clinic Receptionist in accordance with quality philosophy and team orientation, with patient needs as the prime concern: Prepare patient for medical visit, following registration procedures continually and systematically. Schedule follow up activity as required. Maintain a high standard of confidentiality and customer service.

Volunteer Responsibilities:
  • Accurate intake and processing of patients:
    • Prepare medical record charts for visits as needed.
    • Register new and update established patient demographic data using the Electronic Medical Records.
    • Screen patients according to Wellness Clinic protocols to qualify for services. Enter the appropriate data into Electronic Medical Records.
    • Update addresses and phone numbers of patients in the computer system. Print new fact sheet as required, have patient sign and place in chart.
    • Enter new or update billing information ensuring complete accuracy.
    • Assure that all proper forms are in the chart and available for the medical provider.
    • Coordinate same day and walk-in appointments.
    • Refer calls to medical staff when appropriate for emergency or medical questions.
    • Provide patient with information on the health center's policies and procedures.
    • Provide patient with information and brochures on Medi-Cal managed care options and other government programs & services.
    • Schedule appointments for patients as they are discharged, charting appointment time, date and your initials.
    • Maintain and follow the call back system for next day appointments.
    • Follow-up on no-shows as protocols dictate.
  • Customer Relations:
    • Respond promptly and with caring actions to patients and employees. Acknowledge psychosocial and cultural beliefs and honor these beliefs.
    • Maintain professional working relationships with all levels of staff, clients and the public.
    • Be part of a team and cooperate in accomplishing department goals and objectives.
    • Contribute to the success of the Wellness Clinic by participating in quality improvement activities.
    • Maintain privacy of all patient, employee and volunteer information and access such information only on a need to know basis for business purposes.
    • Comply with all regulations regarding agency integrity and security obligations.
    • Report unethical, fraudulent or unlawful behavior or activity.

Minimum Volunteer Qualifications:
  • High School or equivalent Medical Reception/Assistant Training at accredited school.
  • One (1) year on the job training for Clinic Receptionist.
  • Ability to work nights and weekends.
  • Sensitivity to A&PI and LGBTQQ issues.
  • Ability to work effectively with volunteers.
  • Strong written and verbal communication skills.
  • Highly developed interpersonal skills and highly effective in working objectively with a diverse group of people.
  • Team player willing to accept and promote organizational goals and function with minimal supervision.
  • Ability to make decisions based on education preparation and experience, which reflect consistency with organization philosophy, policies and procedures.
  • Ability to think analytically and creatively in order to solve problems.
  • Proficiency in Word, Excel, email.

Preferred Volunteer Qualifications:
  • CPR certification/First Aid
  • Experience in working with A&PI and LBGTQ populations.
  • Fluency in English and at least one Asian or Pacific Islander language.
